Governance Coordinator – People Experience

Are you an organised and proactive coordinator who enjoys bringing structure to complex work? Join our People Experience team and help keep key programmes, governance activities, official correspondence and organisational reporting on track.
Te Haeata/The Opportunity
As Coordinator, you will provide high-quality coordination and administrative support across the People Experience programme of work. You will support project and governance reporting, coordinate official correspondence and accountability requirements, maintain accurate documentation and registers, and champion effective information management and SharePoint practices.
Working with teams across People Experience and the wider Ministry, you will help prepare clear, accurate and timely information for senior decision-makers, monitor deadlines and deliverables, and identify practical opportunities to improve processes and ways of working.
What you will do:
- Coordinate programme and project reporting, meetings, workplans, registers, actions and decisions.
- Manage workflows and deadlines for official correspondence, accountability reporting and governance activities.
- Support responses to Official Information Act and Privacy Act requests, parliamentary questions and organisational reporting requirements.
- Prepare, format, collate and quality assure reports, briefings, presentations and governance papers.
- Maintain accurate records, documentation and information within SharePoint.
- Maintain and champion the People Experience SharePoint site, acting as the central point of contact for users, delivering training, conducting audits and reporting, and implementing continuous improvements.
- Support financial and general business administration.
- Build effective relationships and contribute to continuous improvement across People Experience.
Ō pūkenga/Skills and Experience
You will be a confident organiser and communicator who can manage competing priorities, maintain attention to detail and work collaboratively with a wide range of stakeholders. You will bring intermediate experience in administration, governance or project coordination within a complex organisation.
- Strong organisational, coordination and relationship management skills.
- Excellent written and verbal communication, with a focus on accuracy and quality.
- Experience coordinating reporting, workflows, approvals and deadlines across multiple stakeholders.
- Confidence using Microsoft 365 applications, including SharePoint, Teams, Word, Excel and PowerPoint. Experience using Adobe would be an advantage.
- Sound document, records and information management capability.
- The ability to monitor progress, identify risks and issues, and implement practical improvements.
- An understanding of public sector reporting, governance, or Official Information Act and Privacy Act requirements would be an advantage.

Utu ā-tau/Salary
The remuneration band for this role is $67,066 - $90,008. The appointing salary will be based on skills and experience.
